1. Who we are

Teegil Pty Ltd is an Australian tax accounting and audit practice. We provide services including taxation advice and compliance, accounting, bookkeeping support, business advisory services, financial statement preparation, audit and assurance services, and related professional services.

2. Scope of this policy

This policy explains how we collect, hold, use, disclose and protect personal information in connection with our professional services, our website, our communications, our use of cloud-based software and our use of artificial intelligence tools.

Where the Privacy Act 1988, the Australian Privacy Principles, the Privacy (Tax File Number) Rule 2015 or other laws apply to us, we will handle personal information in accordance with those requirements. Even where an exemption may apply because of our turnover, we aim to follow good privacy practice.

3. What personal information we collect

We collect information that is reasonably necessary for our accounting, taxation, audit, assurance and advisory services. This may include names, contact details, dates of birth, employment details, business details, Australian Business Numbers, bank account details, tax file numbers, income and deduction information, financial records, payroll records, superannuation information, identity documents, correspondence, signatures, audit evidence and information about directors, shareholders, employees, contractors, customers or suppliers.

We may also collect technical information when you use our website or online services, such as IP addresses, device information, browser type, usage data, cookies and similar technologies.

4. How we collect personal information

We usually collect personal information directly from clients, prospective clients, employees, contractors and other individuals. We may collect information by email, telephone, online portals, forms, meetings, accounting software, audit tools, document exchange systems and secure file-sharing platforms.

We may also collect information from third parties where it is lawful and appropriate, including the Australian Taxation Office, Australian Securities and Investments Commission, banks, superannuation funds, software providers, employers, related entities, auditors, bookkeepers, legal advisers, financial advisers and other authorised representatives.

5. Why we collect, use and disclose personal information

We collect, use and disclose personal information to provide professional services, verify identity, prepare and lodge tax returns and activity statements, perform audit and assurance procedures, maintain client files, communicate with clients and regulators, manage billing and administration, comply with laws and professional obligations, improve our services, manage risk, prevent fraud and respond to complaints, disputes or regulatory enquiries.

We will not use personal information for unrelated purposes unless we have consent, are required or authorised by law, or another permitted basis applies.

6. Tax file numbers and government identifiers

We may collect tax file numbers and other government identifiers only where this is necessary for taxation, superannuation, audit, assurance or legal compliance purposes. We handle tax file numbers carefully and restrict access to staff or service providers who need the information to perform authorised work.

We do not use government identifiers as our own client identification numbers unless permitted by law.

7. Use of cloud software and service providers

We use cloud-based platforms and third-party service providers to deliver and manage our services. These may include accounting, tax, audit, document management, client portal, electronic signature, practice management, email, data storage, backup, cyber security and payment systems.

Before using a service provider, we take reasonable steps to assess whether the provider has appropriate privacy, security, confidentiality and data handling controls. Some providers may store or process information outside Australia. Where this occurs, we take reasonable steps to understand the provider’s data locations and safeguards.

8. Use of artificial intelligence tools

We may use AI tools to support administrative tasks, drafting, summarising, document review, workflow efficiency, research support, quality checks and internal knowledge management. We do not rely on AI as a substitute for professional judgement, and outputs are reviewed by appropriately skilled personnel before being used for client work.

When using AI tools, we aim to minimise the personal information entered into prompts and systems, avoid unnecessary inclusion of tax file numbers or highly sensitive information, and use settings or tools that are appropriate for professional confidentiality. We do not knowingly use client personal information to train publicly available AI models unless we have consent or another lawful basis.

Where an AI tool is provided by a third party or hosted overseas, information may be processed outside Australia. We assess these tools having regard to confidentiality, security, contractual protections and the sensitivity of the information involved.

9. Disclosure of personal information

We may disclose personal information to the Australian Taxation Office, Australian Securities and Investments Commission, auditors, external accountants, bookkeepers, lawyers, financial advisers, banks, superannuation funds, insurers, software providers, secure cloud and IT providers, debt recovery providers, professional bodies, regulators and other parties where disclosure is required, authorised, reasonably necessary for our services, or consented to by the individual.

We may also disclose personal information where required by law, court order, subpoena, professional standards, audit requirements, taxation administration requirements or regulatory investigation.

10. Overseas disclosure

Some of our software, cloud storage, support, backup, email, security or AI service providers may store or process information in countries outside Australia. The countries may vary depending on the provider and configuration. Where practical, we will identify the relevant providers and data locations in our client engagement documents or on request.

11. Security of personal information

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure. These steps may include access controls, multi-factor authentication, encryption where available, secure portals, staff confidentiality obligations, cyber security monitoring, backups, secure disposal practices, and limits on who can access client files.

If we become aware of a data breach involving personal information, we will assess the incident and take appropriate steps to contain it, reduce harm, communicate with affected individuals where appropriate, and comply with any applicable notifiable data breach obligations.

12. Access and correction

You may request access to personal information we hold about you or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading. We may need to verify your identity before responding. In some cases, we may be unable to provide access, for example where legal professional privilege, confidentiality, audit obligations, regulatory restrictions or another lawful exception applies.

13. Retention and destruction

We retain personal information for as long as reasonably necessary for the purposes for which it was collected, to provide ongoing services, to meet professional, audit, insurance and legal obligations, and to resolve disputes. When information is no longer required, we take reasonable steps to destroy it, de-identify it or securely archive it in accordance with our record retention practices.

14. Marketing communications

We may use contact details to send updates about our services, tax deadlines, regulatory changes or practice news. You may opt out of marketing communications at any time by using the unsubscribe option or contacting us. We will still send important service, compliance or administrative communications where necessary.

15. Privacy complaints

If you have a privacy concern or complaint, please contact us first using the details in section 1. We will aim to acknowledge your complaint promptly and respond within a reasonable time. If you are not satisfied with our response and the Privacy Act applies, you may be able to contact the Office of the Australian Information Commissioner.

16. Changes to this policy

We may update this policy from time to time to reflect changes in our services, technology, software providers, legal obligations or business practices. The current version will be available on request and, where applicable, on our website.
